Online case tracking for conveyancing
One of the issues with any conveyancing file is the need to feed updated information to Clients and the handling of calls made to both Estate Agents and Solicitors regarding progress. High volumes of calls can lead to slow productivity on files as we inevitably spend more time talking on the telephone rather than getting on with the legal work involved in the house move.
At Keith Park Solicitors we have recognised these issues and with our aim of constantly improving the way we work, now have a system that will greatly help to provide a much better service to both Clients and Estate Agents. All our files are managed internally by using the latest Case Management systems. These allow us to track and maintain multiple files smoothly and expediently. Because of this we have been able to create an online system which is linked to our Case Management and can be accessed by Estate Agents and Clients.
As we make progress on a file, the information is automatically sent to the tracking system and is updated during the day. The system shows progress against the main steps in the conveyancing process by indicating the date at which each stage is reached. There is also the facility for us to add notes at each stage, should further explanations be needed. What this means is that, once instructed, Clients and Estate Agents can view the progress of their transactions, on-line, 24 hours a day. This will reduce the need for clients to call the Estate Agent, and for them to then have call us, to check on the status of the File.
This is achieved by logging on to our website at www.myconveyancing.com and clicking on ‘track progress’. We will provide each Client with their own log-in details, once instructed, for them to see their own File. Estate Agents will also be issued with a log-in to have access to all the files of clients which have been referred to us. This is a great benefit as it reduces the number of phone calls received from Clients and calls that Estate Agents may need to make to us, and it comes at no extra cost to either party.
